Registration Policies
- Before registering, please review the following important Banknote
2008 policies, which constitute the terms and conditions of conference
registration:
- For enhanced security purposes, the Conference requires a personal
photograph, in .jpg format, to be submitted at the time of registration.
If a photograph is not submitted in conjunction with the registration
form, registration will not be complete. Photo requirements are as follows:
- Resolution: 300 dpi in jpg
Dimensions: 37mm x 27.75mm (437x327 pixels)
Maximum image size: 60kb
- Although rarely exercised, conference management reserves the right
not to accept conference registrations for any reason, including, but
not limited to, registrations made by: 1) members of media organizations,
lobbying firms or law firms and 2) any other individual or representative
of an organization considered to be, at the sole discretion of conference
management, not actively involved in the banknote industry or regulation
thereof. Please be advised that mere shareholding in a company involved
in the banknote industry is not considered to be active involvement.
Notification of non-acceptance will generally be provided no later than
72 hours after receipt of registration. Non-accepted delegates will
be entitled to a full and prompt refund of registration fees. No other
reliance damages will be paid.
- All registration information provided to Banknote 2008 will be kept
strictly confidential. Personal security data, such as social security
or passport numbers, will be used solely to obtain security clearances
necessary for various portions of the Conference proceedings. Contact
information may be shared with the Conference sponsors. Information
concerning the dates of a registrant's hotel reservation at the Capital
Hilton may be shared with conference management.
- Registrants will receive confirmation of their registrations via email
or fax. Registrants will not receive registration packets in
advance of the Conference. These will be provided during onsite
registration.
- Conference management will review the accreditation of all Government
Participant and Sponsor Participant Registrants. Registrants selecting
these rates may be required to provide verification of their affiliation
with a government agency or sponsor organization. Based on its review,
conference management may, in its sole discretion, require registrants
to change their rate selection and tender additional registration fees
as appropriate. Failure to do so by a registrant will result in non-acceptance
of his or her registration. Conference management will also make reasonable
efforts to review for accuracy all selections of the Industry Participant
registration rate and notify such registrants of potential eligibility
for the Government Participant or Sponsor Participant registration rates.
Refunds of the appropriate amount of registration fees will be provided
to all registrants whom conference management, in its sole discretion,
determines to have erroneously selected a higher registration rate.
- Conference registration includes guaranteed admission to: 1) all presentations
taking place at the Capital Hilton; 2) the conference exhibit hall;
3) continental breakfasts/coffee breaks taking place at the Capital
Hilton; 4) luncheons taking place at the Capital Hilton; and 5) cocktail
receptions taking place at the Capital Hilton. On a space-available
basis only, conference registration also includes admission to the conference
tours of Federal government agencies (including presentations and catering
events scheduled at those locations). Partial refunds will not be provided
to registrants who are unable to participate in the conference tours
of Federal government agencies due to space constraints, security concerns
or lack of interest on the part of individual registrants.
- Registrants must indicate in the appropriate portion of their registration
forms their desire to attend any conference tours of Federal government
agencies. Such registrants will automatically be placed on the attendee
lists for any tour until the tour reaches capacity. Subsequent registrants
who indicate their desire to attend any tours will be immediately notified
of space constraints and will automatically be placed on a waiting list.
Each registrant will receive a confirmation of tour selection in his/her
onsite registration packet upon arrival. Copies of the tour attendee
list and waiting list will be available onsite for review. While onsite,
registrants who failed to indicate their desire to attend one or both
of the tours in their registration forms may place their names at the
end of the tour waiting list. Please be advised that registrants on
the tour attendee list or waiting list may be removed from these lists
at any time due to security concerns brought to the attention of conference
management by any Federal government agency.
- IMPORTANT
Conference registration does not constitute a hotel reservation.
Registrants must make their own arrangements for hotel accommodations.
- Information concerning a registrant's hotel reservation at the Capital
Hilton may be shared with conference management.
- Conference registration does not guarantee entry into
the United States. It is the responsibility of each delegate
to obtain the necessary entry documentation. Conference management will
assist this process by: 1) registering the conference on the U.S. Department
of State’s list of U.S.-based conferences likely to attract an international
audience; and 2) providing a letter addressed to the relevant U.S. embassy/consulate
confirming the conference registration and desired attendance of delegates
specifically requesting such a letter. Under no circumstances will conference
management serve as a “sponsor” to any delegate—i.e., conference
management will not assume responsibility for any delegate’s expenses,
lodging or transportation while in the United States, nor make any representations
to this effect to the U.S. government.
- A registrant who cancels his/her registration by 5:00 p.m. EST on
Wednesday, March 19, 2008 will be entitled to a full refund.
A registrant who cancels his/her registration after this date (including
onsite) will not be entitled to a refund (full or partial) unless conference
management, in its sole discretion, is able to secure what it considers
to be an acceptable replacement delegate. In such a case, conference
management will make reasonable efforts to obtain an acceptable replacement
delegate. For registrants who cancel their registrations after receiving
a letter from conference management in support of an application for
a U.S. visa, please note that conference management will make every
effort to notify the relevant U.S. embassy/consulate of the change in
registration status.
- In lieu of cancellation, a registrant may transfer registration to
another member of their organization at no additional charge, provided
that the replacement delegate completes a new conference registration
form. Conference management requests that such registration transfers
be made in advance of the conference, as registration transfers made
onsite may result in delayed receipt of a conference security badge/admission
pass and ineligibility to attend conference tours of Federal government
agencies due to advance security clearance requirements.
- Although this right is rarely exercised, conference management may
eject any registrant from the conference for posing what conference
management, in its sole discretion, determines to be a sufficiently
serious security threat. Ejected registrants will be entitled to a full
and prompt refund of registration fees. No other reliance damages will
be paid.
